Debate Evidence Reviews: Online
Judge requests evidence via the Dashboard. (DER)
Confirm: Confirm with the judge that the evidence was presented in the round.
- If the evidence was not presented, inform the judge that evidence is only available for clarification if it was presented in the round.
- If the evidence was presented, notify the CL via text that your team is conducting an evidence review.
Gather information AND Initiate DER with competitors: In order to expedite the process, the Speaking Partner (SP) and the Recording Partner (RP) should work on their tasks simultaneously.
Gather information: The SP gathers initial information from the judge on the chat.
- Is the evidence wanted from Aff, Neg, or both?
- Could you give us a brief description of the evidence?
- During what speech was the evidence requested?
- The SP informs the judge that they should accept an invitation on their dashboard for a meeting room where they will receive the requested evidence.
Initiate DER with competitors: The RP contacts the debate team(s) and their parents via a group text.
- The RP sets up a private meeting room. (See a demonstration linked below and instructions in the NCFCA Admin module.)
- The RP sends an invitation to the first team.
- Text Message Template: “Competitor Name(s) are requested for a debate evidence review. For Team Policy Debate, only one team member is needed. Please bring your evidence and join our staff at the (Debate Evidence Review Room will appear on your tournament main screen). A parent is not required to attend but is welcome to join. Please confirm that you have received this text.”
Meet with team: CT meets with the debate team. The Speaking Partner shares a brief description of the evidence requested and during what speech it was presented.
- If evidence is requested from two teams, only meet with one team at a time to present their evidence.
- When competitors arrive, the SP shares a brief description of the evidence and during what speech it was presented.
- SP asks the team to upload the evidence.
- If the team does not have the requested evidence,
- dismiss the competitors,
- inform the judge via the Chat or text that the competitors did not have the evidence,
- RP uninvites team and deletes meeting,
- and the CQR process begins, if needed.
- If the team does have the requested evidence,
- Debate team uploads evidence.
- The RP should copy and paste the evidence on a separate document temporarily.
- If the team does not have the requested evidence,
- Note: When one party (i.e. competitor) leaves the meeting room, the uploaded information (i.e. evidence) may not be visible to the new party entering the meeting room (i.e. judge). It may be necessary for the CT to copy/paste the evidence from the temporary document into the meeting room chat box for the judge to view.
- Release team: Once the evidence has been uploaded, ask the competitors to leave the meeting and remove their invitation to the room.
- Additional Step for 2 teams:
- Once the first team has left the meeting, send the invitation for the next team to join the meeting room.
- When the second team has arrived, ask them to upload the evidence requested or paste it in the chat box.
- Release team and invite second team if applicable: Once the evidence has been uploaded, ask the competitors to leave the meeting and remove their invitation to the room.
- Additional Step for 2 teams:
- Once the first team has left the meeting, send the invitation for the next team to join the meeting room.
- When the second team has arrived, ask them to upload the evidence requested or paste it in the chat box.
- Release second team: Once the evidence has been uploaded/pasted, ask the competitors to leave the meeting and continue.
- Additional Step for 2 teams:
- Present to judge: Invite the judge to the online meeting room to view the evidence.
- It may be necessary for the RP to copy and re-paste evidence that has been posted into the chat box as the judge may not be able to view any information that was uploaded before the judge entered the room.
- Once the judge has finished viewing the evidence, the SP asks the judge to delete the evidence before continuing to complete his/her ballot.
- “Clean up” and report: When the meeting is completed, the RP
- deletes chats,
- removes uploads,
- uninvites meeting participants,
- deletes any temporary documents of evidence that were created,
- deletes the meeting,
- and informs CL that DER is completed.
