Comms Team Pre-Tournament Preparation
Comms Team Member Responsibilities
Each Communications Team member plays a vital role in maintaining order, communication, and support throughout the tournament. Your preparation ensures the tournament runs smoothly and efficiently.
Before the Tournament
Review Communications from Your Lead
- Read the Welcome Email from your Comms Lead carefully.
- Review all attached documents, which may include:
- TAG Sheet (room assignments and schedule)
- Facility Map
- Child Safety Policy (sign and return if not yet completed this season)
- Review the Communications Team roster and confirm your contact details.
Complete This Required Training
- This training covers your responsibilities, communication tools, and on-site procedures.
- Complete the training before arriving at the tournament.
- Contact your Comms Lead with any questions after reviewing the materials.
Prepare for the Tournament
- Attend the pre-tournament meeting (Zoom or in-person, if scheduled by your Lead).
- Charge and update all electronic devices before arrival.
- Bring a computer or laptop for dashboard access and a phone for texts and calls.
- Log in to the Communications Dashboard at https://ncfca-staff.ncfca.org, select your tournament, and click Communications.
- Dress professionally in comfortable, modest attire and supportive shoes. Adults are not bound by the student dress code but should model professionalism and modesty.
Arrival and Daily Expectations
- Arrival Time:
- Arrive 45 minutes early on Day 1 for setup and team prayer.
- Arrive 30 minutes early on subsequent days.
- Morning Meeting:
- Gather each morning at the designated meeting location (listed in your welcome email) for a short check-in, prayer, and daily assignments.
- On-Site Communication:
- Join your team’s text thread or Google Chat to receive live updates and share needs throughout the day.
- Attitude and Focus:
- Serve with flexibility and attentiveness, and a heart to support competitors, judges, and tournament staff.
