Pre-Tournament Checklist

Prior to the event, the Facility Coordinator will work with the Tournament Coordinator (TC) to determine the unique set-up needs of the facility, determine the best room usage plan, inventory and plan for equipment needs, and make a plan for set-up of the facility.

Pre-tournament Checklist

  • Use the Rooms Planner Worksheet provided by your TC to take notes during your pre-tournament walk-through. 
  • Confirm with the facility who will do the set-up – NCFCA or the facility host
  • Designate someone to take photos of all spaces used if NCFCA will do set-up and reset. You can do this during the walk-through or before you set up rooms the day prior to the tournament. 
  • Confirm with the facility what custodial services, if any, will be provided
      • Consider extra garbage cans if needed in JH and Family Hangout
  • Determine if there are any special instructions concerning maintenance, such as air conditioning controls.
  • Count equipment available at facility (tables, chairs, lecterns, power outlets)
  • Discuss the equipment to be secured with the Tournament Coordinator
  • Collect or request necessary equipment not available at the facility
  • Confirm wireless network availability and access protocol
  • Strong wifi is needed in the Judge Hospitality room, Digital Presentation rooms, and Admin area. 
  • During the walk through of the facility, you can bring a laptop and run a speed test throughout the building to measure wifi strength.
  • Be sure to discuss this with the facility, so they can direct you to known areas that are strong or weak.

  • Consider handicap access for competition rooms. 
  • Notify Tournament Coordinator of any limitations.
  • Identify parking spaces to be reserved for church staff, if needed
  • Provide details about rooms to the Tournament Coordinator so he/she can assign room usage (making clear notes on the Rooms Planner will help)
  • Prepare facility maps if the facility is large or complicated and send to TC
