Ballot Return

Close Rooms

  • BM closes rooms per BAL, who receives a text from the Comms Lead indicating the rounds/speeches have all concluded and confirms NO ballots indicate “Not Started.”
    • In Round Management, toggle Room Release next to the appropriate round.

Ballot Return

The NM will monitor the Ballot Report for the timely return of ballots. The target time for submission is 30 minutes after the last speaker ends. 

  • NM monitors the Ballot Admin Report for the return of ballots until they are all in. 
    • Be sure to communicate outstanding ballots to the BA Lead, who advises the Regional Coordinator of judges who are delaying the completion of the round for instruction about follow-up communication. 

You can filter the report by round.  Under “Status” you will see if a ballot is “Not Started,” meaning the ballot has not been opened by the judge or “In Progress” or “Complete.”

  • The NM will send a notification to judges with an unsubmitted ballot about 5 minutes prior to the return due time, reminding judges of the deadline. Refer to the notification templates. 
  • Note any rooms that started later, and send them an individual text giving them more time. Keep track of these judges separately.
  • After the due time has passed, NM should send individual texts asking judges with unsubmitted ballots if they need assistance, and follow up accordingly.

The BA Lead will keep the RC informed of any delays with ballot return.
