Ballot Administration Team
The Ballot Administration Team consists of the following:
- Ballot Administration Lead
- Ballot Manager
- Notifications Manager.
Ballot Administration Lead
The Ballot Administration Lead directs all ballot related activities in the ballot selection process including timing of the round, setting start times, opening and closing of rooms, special notifications, managing judges, ballot changes for judges, and contacting judges.
The Ballot Administration Team should only move forward in this process with communication and direction from the BAL or RC. BAL will communicate with the department leads to advise them of start times and/or delays.
Ballot Manager (BM)
With direction from the BA Lead or Regional Coordinator (RC), the Ballot Manager will load judges by group for ballot selection, monitor ballot selection reports, manually change judges on ballots when directed, release postings, set round start times, release ballots/rooms, close ballot selection, and close rooms. They may provide back up to the Notifications Manager as needed.
Notifications Manager (NM)
With direction from the Ballot Administration Lead or RC, the Notifications Manager will send pre-scripted and unique messages to judges and parents throughout the ballot selection process as well as to competitors to ensure all participants are informed of tournament responsibilities and any delays. NM monitors community judge activity in the Judge Management tab and communicates with Judge Support as needed. NM also monitors and follows up on ballot return.
